Field guide Nº 02 · VapiCSV campaign or API

Send AutoAI Lead leads to a Vapi voice assistant.

Upload a CSV to a Vapi outbound campaign, or have each new lead trigger a call through Zapier, Make or n8n.

Heads-up: AutoAI Lead doesn’t make phone calls and doesn’t include voice agents. This guide shows how to send your AutoAI Lead leads to a voice agent you set up, and pay for, in your own Vapi account. Vapi is a separate product with its own pricing and terms.

Sheet B · What you needBefore you start

Pack list

  • A Vapi account and an API key (for the API route)[1]
  • An assistant built in Vapi[1]
  • An imported phone number from a supported provider. Free Vapi numbers can’t make outbound calls and aren’t supported in campaigns[2][3]
  • AutoAI Lead: CSV export (any plan) or webhook (Pro Agency or Scale)

Good to know

  • Campaigns hold up to 10,000 contacts and can be scheduled up to 7 days ahead in the Dashboard[3]
  • Once created, a campaign can’t be edited, only canceled or duplicated[3]
  • Phone numbers must be in E.164 format (+country code)[2]
  • AutoAI Lead’s webhook can’t call Vapi’s API directly: Vapi needs your API key in an Authorization header and its own JSON format. An automation tool sits in between.
Sheet A · The AutoAI Lead sideWhat leaves the app

Three ways leads leave AutoAI Lead (all verified in the app).

  • GoHighLevel export (Pro Agency and Scale): creates or updates the contact in your own GHL sub-account, with tags, a note containing the demo link and messages, and optionally an opportunity in the pipeline you pick. Set it up in Ajustes → Integraciones (Settings → Integrations).
  • Signed webhook (Pro Agency and Scale): every exported lead is sent as flat JSON by POST to the https URL you enter, for example a Zapier, Make or n8n webhook. It’s signed with the header X-AutoLead-Signature: sha256=… (HMAC-SHA256 with your secret). Scale can send every new lead automatically.
  • CSV export (all plans): download your leads as a spreadsheet. Columns are in Spanish: Negocio, Nicho, Ciudad, Direccion, Telefono, Email, Google Maps URL, Rating, Estado Web, …

Before using demo_site_url in a call script or SMS, open one to confirm it loads. Phone numbers arrive as listed on Google, so convert them to E.164 (for example +13055550123) when the voice platform requires it.

Sheet D · Set up Vapi2 stops

Build the assistant and give it a number.

  1. Create an assistant

    In the Vapi Dashboard, open Assistants and create one; templates are under the arrow next to Create Assistant[1]. Write the First Message and System Prompt[1]. To personalize each call, put variables in the prompt such as {{business_name}}; values come from campaign CSV columns or from the API call[3][4]. Use Talk to test it in the browser[1].

    Example prompt line “You’re calling {{business_name}} in {{city}}. They have a {{rating}}-star Google rating but no website…”

  2. Add an outbound-capable number

    Open Phone Numbers → Create Phone Number and import a number from a supported provider[1]. A free Vapi number won’t work for outbound or campaigns[2][3].

Sheet E · Getting leads inPick one

Two ways to get leads into Vapi.

Route 1 · CSV (any AutoAI Lead plan)

CSV export → Vapi outbound campaign

  1. Export the CSV from AutoAI Lead.
  2. Rename the columns for Vapi: Telefono → number (in E.164), Negocio → name. Rename any others you want as variables, for example Ciudad → city. Every extra populated column becomes a variable[3].
  3. Create an outbound campaign in the Vapi Dashboard: pick the number and the assistant, upload the CSV, choose when calls run, and launch[3].
Route 2 · Webhook + automation (Pro Agency or Scale)

AutoAI Lead webhook → Zapier / Make / n8n → Vapi API

  1. Create a webhook catcher: Zapier Webhooks by Zapier → Catch Hook[5], a Make Custom webhook[6], or an n8n Webhook node[7]. Copy its URL.
  2. Paste it as the webhook URL in AutoAI Lead (Ajustes → Integraciones) and send a test lead.
  3. Add a step that converts phone to E.164.
  4. Add an HTTP request step that POSTs to Vapi’s /call endpoint[2][4]:
POST https://api.vapi.ai/call
Authorization: Bearer YOUR_VAPI_API_KEY
Content-Type: application/json

{
  "assistantId": "YOUR_ASSISTANT_ID",
  "phoneNumberId": "YOUR_PHONE_NUMBER_ID",
  "customer": { "number": "+13055550123" },
  "assistantOverrides": {
    "variableValues": {
      "business_name": "Smile Dental Studio",
      "city": "Miami",
      "rating": "4.9"
    }
  }
}

Example Keep your Vapi API key in the automation tool, never in AutoAI Lead or in a public page. Sending variable values as text is the safest choice.

Sheet C · Before you dialRules of the road

Automated AI calls are regulated.

Laws on automated and AI-voice calls (consent, calling hours, opt-outs, do-not-call lists) depend on the country and state you call. You’re responsible for following them; AutoAI Lead and the voice platforms don’t check consent for you. This isn’t legal advice; check the rules where your leads are located.
